Start with a handover, not a shared password
A website handover should explain who owns each account, who handles routine changes and what happens when something fails. For a Vanuatu business, that includes deciding how the team will contact support when the usual person is away. The objective is a usable operating record, not a promise that nothing will break. Start with one named business owner and one support contact. Record the date you checked the information and arrange a review after major staff or supplier changes. Keep passwords and recovery codes in an appropriate password manager, outside the public website and this checklist.
Record domain and hosting ownership
Make a private inventory of the domain registrar, hosting account, renewal contact and billing owner. Check that the business can reach the registered recovery email and identify who is authorised to approve changes. A website can remain online while an account problem is developing, so a successful page load does not prove ownership is in order. Record renewal dates from the actual accounts rather than guessing from an invoice. If an agency manages an account, agree how the business can obtain assistance or transfer access through the provider’s normal process.
Agree what maintenance includes
Write down the work covered by your support arrangement. Content changes, software updates, security checks, hosting and incident response are different responsibilities. Ask which changes need a separate quote and who approves them. Agree contact channels and response expectations in writing; do not assume every plan includes continuous monitoring or immediate support. For a small team, a short list of owners and escalation contacts is often more useful than a long technical document nobody maintains. Review that list when the business changes its website, staff or service provider.

Ask for a restore demonstration
A backup is useful only if the right person can restore the right information. Ask what is backed up, how often the process runs, where copies are held and how a restore is requested. A database backup may not include uploaded images or settings held by another provider. Arrange a controlled restore check in a suitable test environment rather than experimenting on the live site. Record what was tested and any limits. Do not describe the website as fully recoverable until the relevant files, data and configuration have actually been checked.
Test the customer journey on a phone
Open the website on the devices your team can realistically test. Check the menu, service pages, phone link and enquiry form. Use a clearly labelled test enquiry with business-approved contact details, and confirm it appears in the expected inbox or enquiry system. A message on screen is not proof that a notification was delivered. Separately check the phone and WhatsApp destinations with the owner. If you use Analytics, distinguish successful saved submissions from clicks that only show an intention to contact the business. Avoid sending personal customer details into analytics events.
Plan updates and recovery together
Before a significant update, identify what could be affected and how you will reverse the change if necessary. Keep an approved copy of the existing content or a deployment reference where your platform supports it. Test the important customer paths after the change, including forms and links. Preserve useful page addresses where possible; changing a URL can also affect links and search discovery. If a move is necessary, plan redirects and review the sitemap and canonical addresses. Technical checks support search access, but Google independently decides whether to index a page and where to rank it.

Use a simple incident log
When a problem occurs, record when it was noticed, the affected address, the visible symptom and the person responsible for following up. A screenshot and a clear description can help support investigate without sharing passwords. Note whether customers are affected and whether an alternative contact channel is available. After resolution, record what was fixed and how it was verified. Keep private details in a protected support record. Over time, the log can help you identify repeated problems and decide whether the maintenance arrangement needs to change.
A hypothetical handover meeting
Imagine a small Port Vila accommodation business preparing for a website handover. In a short meeting, its manager confirms the domain owner, opens the support contact record and follows a test enquiry from the phone screen to the staff inbox. The agency explains how to request a restore and which updates require approval. This is a hypothetical example, not a PWD client result or a claim about bookings. The useful outcome is an agreed set of responsibilities and checks that the business can repeat, not a new dashboard that nobody owns.
Your handover checklist
- Confirm domain, hosting and recovery-email ownership.
- Record support scope, billing responsibility and escalation contacts.
- Check backup coverage and arrange a safe restore test.
- Verify mobile enquiries and their delivery destination.
- Document change approval, rollback and follow-up checks.
Questions to ask before signing off
Does hosting automatically include maintenance?
Confirm the actual agreement. Hosting, content updates and application maintenance can be separate services.
Should we send passwords to support by email?
Use the access or invitation process agreed with the provider. Keep recovery codes and credentials out of ordinary enquiry messages.
Does maintenance determine Google rankings?
No. A functioning website and sound technical structure support discoverability, but search rankings depend on factors beyond a maintenance agreement.
